DE Use Microsoft Dataverse to synchronize data from SQL Server and Power Automate to handle automated reporting and approval workflows.

Question

A company uses Microsoft 365, SharePoint Online, and Dynamics 365 Sales.
You need to recommend tools to build a solution that meets the following requirements:
Synchronize data daily
✑ from an external Microsoft SQL Server instance.
✑ Send a report automatically to specific company executives.
✑ Ensure that opportunities over a specified amount are approved by a sales manager.
Which two tools or components should you recommend? Each correct answer presents part of the solution.
NOTE: Each correct selection is worth one point.
  1. Microsoft Excel
  2. Microsoft Word
  3. Power BI
  4. Microsoft Dataverse Correct Answer
  5. Power Automate Correct Answer

Key Takeaways

The main trap is choosing Power BI for reporting; however, without explicit dashboard requirements, Dataverse + Power Automate is the standard solution for data sync and workflow enforcement.

Learn how to recommend Microsoft Dataverse for data synchronization and Power Automate for automated reporting and approvals in PL-900 scenarios.

Common mistake: Learners often select Power BI (C) because they associate 'reports' with visualization tools. This is incorrect because Power BI cannot natively execute the approval workflow logic required by the third requirement, nor is it primarily a data synchronization engine for application storage.

Expert Analysis

This question requires mapping three specific business requirements to the correct Microsoft Power Platform components. The key to solving this lies in identifying which tool handles data persistence versus which handles process automation.

Requirement 1: Data Synchronization The prompt specifies synchronizing data daily from an external Microsoft SQL Server instance. While Power BI can connect to SQL Server, its primary function is analytics and visualization, not long-term data storage or synchronization for application logic. Microsoft Dataverse (Option D) is the secure, scalable data platform within the Power Platform designed specifically to store and manage data. It supports integration patterns that allow data from external sources like SQL Server to be synchronized into Dataverse tables, making it the foundational component for holding this information.

Requirement 2 & 3: Automated Reporting and Approval The second requirement is to send a report automatically, and the third is to enforce an approval workflow for high-value opportunities. Power Automate (Option E) is the dedicated service for building automated workflows. It can trigger on changes in Dataverse (or directly from SQL via connectors) to generate reports (using templates or other services) and email them to executives. Crucially, Power Automate provides native approval actions (e.g., 'Start and wait for an approval') which are essential for enforcing the sales manager's sign-off on opportunities.

Why Power BI is Incorrect A common trap is selecting Power BI (Option C). Although Power BI is excellent for reporting, the question does not explicitly ask for interactive dashboards or visual analytics. More importantly, Power BI cannot natively handle the complex conditional logic required for the approval workflow described in the third requirement. Only Power Automate can orchestrate the 'send report' and 'enforce approval' steps effectively.

Conclusion Dataverse serves as the data repository/sync target, and Power Automate handles the automation of both the reporting distribution and the approval process. Therefore, D and E are the correct choices.

Exam Strategy

When a question mentions 'approvals,' 'workflows,' or 'automated triggers,' prioritize Power Automate. When it involves storing or syncing structured business data (like Sales records), prioritize Dataverse over generic databases or visualization tools unless 'dashboards' or 'analytics' are explicitly requested.

Frequently Asked Questions

Can Power BI replace Dataverse for data synchronization?

No. Power BI is for analytics and visualization. Dataverse is the underlying data platform for storing and managing application data. While Power BI can read from SQL, it doesn't serve as the persistent storage layer for the app's logic.

Does Power Automate support approval workflows?

Yes, Power Automate has built-in 'Approval' actions that can route requests to specific users, such as sales managers, and pause the flow until a decision is made.

Power Bi + Automate. See DeVries reasoning.
  2. DeVries 👍 9
As discussed earlier; Power BI can sync the data from external sources and create reports. Not Dataverse.
  3. mk_dyn365 👍 6
will go with C and E options
  4. TiTe123 👍 5
Microsoft Dataverse can automatically generate generic reports. Whilst you can indeed create reports in Power BI, there is no mention of creating visualizations or completing data manipulations etc. Thus, in my opinion, Power BI is beyond the scope of this question and the answer is DE.

Data verse can sync data "Question 1 :- from an external Microsoft SQL Server instance" Power automate to "Question 2 :- Send a report automatically to specific company executives" and "Question 3:Ensure that opportunities over a specified amount are approved by a sales manager"

    Can't be anything else

"Send a report" made me chose Power BI over Dataverse. Since it also can connect to external sources mentioned in the story. Automate could be triggered daily to have BI "sync" the data in Power BI to generate a report that will be send out by Automate. Can someone explain what Dataverse is doing as part of the solution? The suggested links in the answer is about integrating data with Dynamics products, not non-powerplatform products like SQL server.
  3. L3w1s 👍 4
D and E are the correct answer
  4. HARRISONP04 👍 3
Sorry but i dont see anywhere in the question where it states that a report is needed to be made? power automate will carry out the syncing of data whilst the data verse will provide the data for syncing
  5. John_Steve 👍 2
"Dataverse" might be it after all if I understood the information in the follwing link correctly: https://learn.microsoft.com/en-us/power-apps/developer/data-platform/data-synchronization. "Sometimes you'll need to synchronize and integrate Microsoft Dataverse data with data that is stored in other systems. The common data integration patterns include taking data from an external system and pushing it into Dataverse, taking data from Dataverse and synchronizing it to some external data store, or updating Dataverse with external data. Dataverse provides several capabilities to make it easier to write code to achieve these scenarios."

I second DeVries, I also chose Power BI and Power Automate. My understanding is Power BI will help to create reports and sync the data. Power Automate will help to send the report and mail to sales manager .
  7. Murtuza 👍 2
Anytime you see Microsoft 365 Dynamics and the word " synchronize" in the question then it means Dataverse. The Power BI is a distractor answer
  8. Lhurgoyf84 👍 2
Since reports are sent to Company Executives, they should have the proper looks therefore I vote for Power BI.
  9. L3w1s 👍 2
    Power BI for what??

    C and E is Correct
  11. trysec 👍 1
    C. Power BI - Power BI can be used to connect to the external SQL Server instance, extract and transform data, and create reports. The reports can be automatically sent to specific company executives. E. Power Automate - Power Automate can be used to trigger an approval process for opportunities over a specified amount. A sales manager can approve or reject the opportunity, and the opportunity can be updated in Dynamics 365 Sales accordingly. Power Automate can also be used to automate the data synchronization process between the SQL Server instance and Dynamics 365 Sales using the Common Data Service (CDS) connector.

The requirements are to sync data from SQL Server instance, so we need Dataverse to save the data. Then we need to send reports automatically. Power BI is to create reports, but to automatically send we need Power Automate, and Power BI is not the only tool that creates reports. Also, how do you ensure the approvals by a sales manager? You will always need Power Automate. Power BI does not solve this!
  13. Moiz1031 👍 1
In the question, it is not mentioned that company is using Power BI. Report can be of any form for e.g an excel workbook or any document. One should not assume that "report" us tge Power BI report. Also I have seen example where the client has M365 license but no Power BI license, so M365 does not mean that client would use Power BI.
  14. Murtuza 👍 1
The Power BI service is also in the cloud, so Power BI can connect to those data sources live by using DirectQuery. With DirectQuery, Power BI is always in sync, and you don't need to set up a scheduled refresh.
  15. SHNH 👍 1
Fetch based report; data from dataverse. 'reports are based on SQL Server Reporting Services and provide the same set of features that are available for typical SQL Server Reporting Services reports.'
  16. bigelmo_elmo 👍 1
Guys this is a repeated question same as question #144 but option D. is switched instead of CDS it says dataverse i belive the given answers are correct.
  17. MHub 👍 1
I believe only Power BI has out-of-the box (i.e. pre-configured) reports for Dynamics 365 Sales use
  18. Akraios 👍 1
PowerBI can both query an SQL and send a report. However it can't sync it.... Really don't know
  19. Moiz1031 👍 1
Power BI is not stated in the question. There can be report as simple as in excel format!
  20. abeltenera 👍 1
Power BI can sync FROM (not TO) SQL Server and generate reports. Automate does the rest
  21. Moiz1031 👍 1
second bullet point "Send a report automatically to specific company executives."
  22. Moiz1031 👍 1
The report can be in Excel for example. PowerBI does not seem a strong option.
  23. Murtuza 👍 1
First, open Power BI and select the Get Data option to connect to SQL Server
  24. jnlnnn 👍 1
Thanks for the confirmation, it says "send a report", not create one
  25. Moiz1031 👍 1
C, E Chap GPT also provides great reasoning.
