Using Google Cloud APIs for Document Search and Extraction

CDL By islever Editorial Last updated

The value of APIs

Short answer

C To create digital versions of the documents and locate key information.

Question

An organization wants to search hundreds of scanned documents for key information like dates, names, and other specific words.
Why should the organization use application programming interfaces (APIs)?
  1. To replace the scanned documents with an online survey
  2. To ingest data in real time and encrypt unmatched words
  3. To create digital versions of the documents and locate key information Correct Answer
  4. To transform the documents into unstructured data.

Key Takeaways

APIs enable OCR and data extraction from scanned images, turning unsearchable files into structured, locatable data.

Learn why Google Cloud APIs are essential for converting scanned documents into searchable digital formats and extracting specific key information like dates and names.

Common mistake: Choosing D (transform into unstructured data) because one might think scanned images are already unstructured. However, the goal is to find specific info, which requires creating structured, searchable text via APIs, not leaving it as raw unstructured data.

Expert Analysis

The Trap of Unstructured Data

The most attractive but incorrect answer is D. This option suggests transforming documents into unstructured data. While scanned images are technically unstructured, the goal of the organization is to find specific information (dates, names). Transforming them further into "unstructured data" does not aid in locating or extracting that specific key information; it often makes structured querying harder. The question implies a need for processing and extraction, not just raw ingestion.

Why C is Correct

C is the correct answer because it accurately describes the workflow enabled by Google Cloud APIs, such as the Document AI or Vision API. Scanned documents are essentially images. To search for text within them, you must first use an API to perform Optical Character Recognition (OCR) to create a digital, machine-readable version (text layer). Once this digital text is created, the same or subsequent APIs can be used to locate and extract the specific key information requested. Thus, the API serves to both digitize the content (via OCR) and facilitate the search/locating of data.

Addressing Comments and Nuance

Comments highlight confusion between "digital versions" (images) and "text." One comment notes that scanned docs are already digital images, making C seem redundant. However, in exam context, "create digital versions" often implies converting the image-based scan into searchable text data. Another comment argues for D, suggesting APIs query existing digital docs. This ignores the "scanned" nature which requires OCR. The consensus among knowledgeable voters supports C, emphasizing the role of APIs in OCR and information extraction.

Exam Strategy

When a question involves 'scanned' documents and 'finding' specific text, immediately look for answers involving OCR or conversion to machine-readable text. Avoid options that suggest keeping data 'unstructured' if the goal is precise retrieval. Focus on the utility of the API in enabling the search process through digitization and extraction.

Frequently Asked Questions

Why isn't D correct if scanned docs are unstructured?

Scanned docs are images. Transforming them into 'unstructured data' doesn't help find specific text. You need APIs to convert them to searchable text (structured enough to query) to locate key info.

What specific Google Cloud API handles this?

Document AI or Vision API. These provide OCR capabilities to extract text from scanned images and identify entities like dates and names.

D is correct. C is wrong because it says the data is in scanned documents, which means it is already digitalized.
  2. shuvs 👍 6 Answered D
Services like Natural Language API's scan the documents and extract entities which are unstructured data.

Very vague question & ambiguous choices.. it's a toss!! :)
  4. SoftSami 👍 2 Answered C
APIs can be used to access and extract specific information from documents, including scanned documents. By using APIs, the organization can extract key information such as dates, names, and specific words from the scanned documents without manually reviewing each document. This can significantly reduce the time and effort required to search the documents for the desired information. Additionally, APIs can be used to convert the scanned documents into digital versions, which can be easily searched and analyzed. Once the scanned documents are converted into digital versions, the organization can use APIs to extract the desired information and store it in a database or other system for further analysis.
  5. inner4444 👍 2 Answered C
The organization should use application programming interfaces (APIs) to create digital versions of the scanned documents and locate key information. APIs can provide access to text recognition and document processing services, which can extract text from scanned documents and make it searchable. By utilizing APIs, the organization can convert the scanned documents into machine-readable formats, extract relevant information such as dates, names, and specific words, and perform searches efficiently. This enables the organization to easily locate and retrieve the desired information from a large volume of documents.

    C. To create digital versions of the documents and locate key information Application programming interfaces (APIs) can be used to create digital versions of scanned documents and locate key information within those documents. This is because APIs can be used to perform optical character recognition (OCR) on scanned documents. OCR is the process of converting scanned images of text into machine-readable text.

I think scanned documents and digital version of the documents are not the same. Scanned are only a picture of these documents, on the other hand the digital version of the documents are converted in Text and saved in format like PDF or any other common text formats.
  3. vimalraj02 👍 2
D is correct. The text from the PDF/scanned documents/images gets converted into JSON (unstructured file) which will be further used for search.

Toss up, but lean D because of the "function" of an API

    C. To create digital versions of the documents and locate key information: APIs can be used to interact with Optical Character Recognition (OCR) software and other document processing tools. These APIs can help convert scanned documents into digital, machine-readable formats and then extract specific information like dates, names, and keywords from them. This is a common use case for APIs when dealing with large volumes of scanned documents, as it allows for efficient data extraction and analysis.

APIs can be used to extract information from scanned documents and convert them into digital formats that can be searched and analyzed. APIs can help automate the process of locating key information, such as dates, names, and specific words, within hundreds of scanned documents, making it easier for the organization to find what they are looking for.
  9. Adon_97 👍 1 Answered C
The correct answer is C. The organization can use APIs to connect to a document processing service that takes the scanned documents, convert them into digital text, and extract the key information that the organization is looking for. Option D is not as effective for this task because it would make the documents even more difficult to search.
  10. Arimaverick 👍 1
Question and the options are confusing or not proper. Vision API can detect text in PDF/TIFF files https://cloud.google.com/vision/docs/pdf. Hence I think the closest is C but it also says to convert it to digital document which already has been done.
  11. oezgan 👍 1 Answered D
Guys, D is correct. Think of it this way: the APIs are used to search for the data required in the documents (which are already digital btw). So the APIs are queried with the documents and not build on top of the documents. Hope that makes sense.
  12. IVANHOE 👍 1
Leaning towards C since extracting key information seems to be the end goal. Why not D? Well scanned documents (images or PDFs) are already unstructured data, so you would transform unstructured data to unstructured data.
  13. Mehrannn 👍 1
I will go for C - This is referring to full text search, by digitalzing the scanned documents (scanned docs are already unstructured data and are not digitalized yet) and indexing them to make the search process easier.
  14. tbolick6 👍 1 Answered C
I chose C. I agree with one comment that the documents are scanned, so they are already digitized. But the question reads to me like the data is already unstructured. I do not like this question.
  15. Robert12 👍 1 Answered C
I find "D" difficult to accept , why would you want to transform data into unstructured format when its already in a structured format
  16. gyenesge 👍 1 Answered C
I think the listed key details are not unstructured data. So D can't be the right answer me. Digitalized means OCR-ed document for me.
